Full-board accommodation is provided from Sunday dinner to Friday lunch, as well as coffee breaks in the morning and afternoon.
Of course, the sooner the better. But we would need the first version 30 days before the start of your event at the latest. It has to include the dates of stay of everyone and food restrictions, even though it can undergo some modifications during the last month.

If your event takes place at Maison des Congrès which is at 10 mn walk from the hotel: in this case, it had been mentioned to you by the SRS admin team upon confirmation of your event.

The main conference room (Salle Glacier) offers the possibility to have both speakers and participants onsite and/or online. A camera with microphone is set up in the conference room and we can give you access to a zoom account upon request. It remains the organizers’ decision whether or not an event happens as hybrid.
Yes, talks can be recorded (In salle Glacier only) if the speaker gives her/his authorization prior to the talk. The recordings will be made available a few weeks later on the SRS website.
It is upon request: if you need it please inform us 15 days prior the conference.
Badge lanyards should be returned at the reception of the hotel Les Sources upon check-out.
In case you would like to organize a poster session, please contact the SRS admin team at least 3 months before the beginning of your event to make it possible. Please note that participants will have to come to the conference with their poster already printed.
Yes, there is free parking in front of the hotel.
Yes, the participant or the organizer (depending on the policy of the conference) will be charged. If you cancel/shorten your arrival:
- 3 nights before the beginning of the event, 1 night will be due.
- 2 nights before the beginning of the event, 2 nights will be due.
- 1 night before the beginning of the event, 3 nights will be due.
- After the beginning of the event, all nights will be due.

The SwissMAP Research Station does not provide funding for travel expenses. The organizers of the conference you want to attend might have separate funding for travel expenses though, and we invite you to contact them.
Most of the conferences take place in Salle Glacier in the Hotel Les Sources at the second floor (unless it has been specified differently by the organizers of your conference).
You can check in from 2pm and need to check out before 10am.
The hotel reception will be open until 8pm, after which the hotel manager will leave your key with a member of staff (in charge of the bar) until 11pm. After 11pm your key will be left on the desk at reception.
Please inform us if you arrive after 8.30pm so that we can give the correct information for Sunday dinner.
Dinner can be served until 8.30 pm. If you intend to arrive later, please inform us by Thursday prior the event.

You can leave your luggage in the “Isenau Room” on the second floor of the hotel.
You can pay your due upon check-out at Hotel Les Sources (even if you are staying at Eurotel).
Either organizers of the conference or the SRS admin team should contact you at least once before the conference.

We rarely write to you more than 2 weeks prior to the conference, except for the confirmation of registration (automatic email).

This depends on whether badges were requested by the organisers of the event you are attending. If they did, then your badge will be waiting for you at the Hotel des Sources.
The lanyard of your badge should be returned at the reception of the hotel Les Sources upon check-out.
Yes, SRS notepads and pens will be waiting for you in the lecture hall.

If you forget to buy/bring one, the hotel can lend you one against a security deposit of 10 Swiss Franks, or 10 euros.
As rescue/health costs are expensive in Switzerland, we advise you to check your health/accident insurance cover abroad before your arrival.
